Frequently Asked Question

How do I keep my Google Workspace account secure?
Last Updated 3 years ago

Securing personal devices:

Ensure that your computers and devices require a pin code (minimum 6-digits) or password to unlock. This is particularly important for mobile devices that can easily be lost or stolen, such as phones, laptops and tablets. Without such security, someone could gain access to data on these devices and within your Google Workspace account.

If one of your devices is lost or stolen, you must change your Spirit Studios user account password as soon as practically possible. Additionally, sign out of Google Workspace on that device. You can do this from another device by logging into your G-Suite account and then going to:

Manage your Google Account > Security > Manage Devices

Click on the device in question and then select Sign out.

Logging out of Google Workspace when using public devices:

When using public devices, including Spirit Studios workstations, ensure you log-out of Google Workspace prior to leaving the workstation.

2-Step Verification (2SV):

2-Step Verification (or 2SV) adds an extra layer of security to the user accounts within Google Workspace. When enabled, and after entering a password, users must provide a secondary authentication factor to verify their identity. Users avoid repeated 2SV checks on their trusted devices.

This significantly reduces the risk of unauthorised access to your account. This is particularly important when using cloud-based services, as attempts to access your Google Workspace account can be made from any device with an internet connection.

Student enrolment in 2SV is optional but strongly recommended. To turn on 2-Step Verification, follow the instructions on this webpage:
